The problem

The agency’s creative pipeline lived in WhatsApp chaos. The operations director and the creative director traded scattered messages all day, the team lost track of jobs, and no one had a single source of truth for what was actually in progress.

Deadlines slipped quietly. The only way to know a job’s status was to ask — and wait.

What I built

I designed and built the whole thing — UX, UI and flow. A kanban board carries every job from intake to approval. Opt-in automations decide what each person gets notified about, WhatsApp included, so the creative director tracks progress without chasing anyone.

And an LLM assistant sits on top of the board: ask “what’s happening right now?” and it answers with the live state of the pipeline.

  • Kanban pipeline with an AI review stage
  • LLM assistant over live pipeline data
  • Opt-in WhatsApp notifications per role
  • Job briefs, files, comments & approval flow
  • Dashboards and KPIs per designer

The impact

Replaced the WhatsApp mess with one source of truth. The (very busy) creative director stopped chasing people — he just asks the AI assistant for a full status of the pipeline, anytime. The agency now plans, produces and approves inside one system.
